1. Who we are

MedRelocate is a trading brand operated by APOLLO ONLINE - FZCO, a Free Zone Company incorporated in Dubai, United Arab Emirates under Trade License No. 10528, issued by the Dubai Integrated Economic Zones Authority.

Registered address: IFZA Properties, DSO-IFZA, Dubai Silicon Oasis, Dubai, United Arab Emirates.

For the purposes of applicable data protection law, APOLLO ONLINE - FZCO is the controller of personal data collected through www.medrelocateglobal.com (the "Website") and the related communication channels described in section 2. Questions or requests concerning personal data may be sent to info@medrelocate.me.

2. Scope of this Policy

This Privacy Policy explains how we collect, use, store, disclose and protect personal data when you visit the Website, submit an enquiry, complete a self-assessment, request or book a consultation, subscribe to career updates, order a digital PDF product, or otherwise communicate with us.

It applies both to information collected through the Website and to information you send us through the contact channels we publish, including email, telephone, WhatsApp, Telegram and social media messaging.

This Policy covers information collected in the ordinary course of enquiry, assessment and purchase, including in the period before a client services agreement is signed. If you enter into a client services agreement with MedRelocate, additional personal data may be requested and processed under that contract, an additional privacy notice, consent or other appropriate authorization.

 

3. Personal data we collect

 

3.1 Information you provide

Depending on how you use the Website and our services, we may collect:

  • identity and contact information, such as your name, email address and telephone number;

  • professional information, such as your profession, medical specialty, seniority, country of qualification, work experience and licensing status;

  • career and relocation preferences, including countries of interest, language level, career goals, timing and other information entered into a self-assessment or enquiry form;

  • consultation booking information, such as your preferred date, time and time zone, the topic you wish to discuss and any details you add when requesting an appointment;

  • order and invoicing information where you order a digital PDF product, such as the item ordered, order reference, order date, the contact and billing details you enter at checkout and records of the invoice issued to you;

  • communications you send to us, including questions, messages and feedback; and

  • newsletter subscription information and marketing preferences.

Payment is not taken by card on the Website. Orders placed through the Website store are settled by an invoice that we issue to you manually and that is paid outside the Website. We do not request, collect or store payment card details through the Website, and no card data is processed by the Website. If we enable an online card payment method in future, we will update this Policy, and the payment provider will process card data directly under its own security and PCI DSS obligations.

 

3.2 Information collected automatically

When you use the Website, Wix and related website infrastructure may automatically collect limited technical and usage information, such as IP address, browser type, device type, approximate location, referring page, pages viewed, session and shopping-cart information, and security logs. This information is used to operate, secure and improve the Website.

Google Analytics is not currently enabled on the Website. The Website carries site-verification records for Google Search Console and Yandex Webmaster; these confirm ownership of the domain, and do not track individual visitors or set advertising cookies. If we introduce Google Analytics, Yandex Metrica or another non-essential analytics or advertising technology, we will update this Policy and our cookie information and request consent where required.

3.3 Information we do not request through the Website

The Website is not intended for the submission of passports, national identity documents, medical records, health information, diplomas, professional licenses or other sensitive or official documents. Please do not send such documents through general Website forms. If these documents are needed after a services agreement is signed, we will provide an appropriate and secure process.

 

4. How and why we use personal data

We may use personal data to:

  • respond to enquiries and communicate with you;

  • review your professional profile and career preferences;

  • identify and recommend potentially suitable countries or medical career pathways;

  • provide a self-assessment and explain possible next steps;

  • arrange, confirm, reschedule and hold consultations;

  • take steps at your request before entering into a contract;

  • process orders for digital PDF products, issue invoices manually, confirm payment and deliver the product to you;

  • send career updates, country guides and marketing communications where you have subscribed;

  • operate, maintain, secure and improve the Website;

  • prevent fraud, misuse, unauthorized access and technical incidents; and

  • comply with legal, regulatory, accounting and tax obligations.

 

5. Legal bases for processing

Where applicable law requires a legal basis, we rely on one or more of the following:

  • your consent, including consent to receive email marketing;

  • steps taken at your request before entering into a contract and performance of a contract, including the supply of a digital product you have ordered;

  • our legitimate interests in responding to enquiries, operating and securing the Website, improving services and managing our business, provided those interests are not overridden by your rights; and

  • compliance with applicable legal and regulatory obligations.

You may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

 

6. Applicable data protection law

MedRelocate is established in the United Arab Emirates. Our processing of personal data is subject to UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and the implementing legislation issued under it.

Because we offer services to healthcare professionals internationally, further data protection laws may apply depending on where you are located. Where the EU General Data Protection Regulation or the UK GDPR applies to our processing, we process personal data in accordance with those regulations. Where the law of your country of residence grants you rights that go further than those described in this Policy, we will honour those rights to the extent they apply to us.

7. Digital products, orders and payment

The Website includes a store where digital PDF guides can be ordered. When you place an order, the Wix store platform records the item ordered, the order reference and the contact and billing details you enter at checkout, so that we can identify your order and issue an invoice.

Payment is not completed on the Website. We issue an invoice to you manually, and payment is made through a separate channel agreed with you. Payment card details are never entered on, collected by or stored on the Website.

Order, invoice and delivery records are retained for the periods described in section 12. Pricing, delivery and refund arrangements for digital products are governed by our terms of sale, which are published separately on the Website.

 

8. Consultations and scheduling

Where you request or book a consultation, we collect the information needed to arrange and hold it, including your name, contact details, preferred date, time and time zone, and any information you provide about your situation or the topic you wish to discuss.

Where we use a third-party scheduling or video-conferencing tool, that provider processes this information on our behalf and under our instructions. We do not record consultations unless we tell you in advance and you agree to the recording.

 

9. Newsletter and marketing communications

We send email career updates only where you have requested or agreed to receive them. You may unsubscribe at any time by using the unsubscribe link in an email or by contacting info@medrelocate.me. Unsubscribing from marketing will not prevent us from sending service-related or transactional communications where necessary, such as confirmation of an order or delivery of a product you have purchased.

We may retain a minimal suppression record, such as your email address and opt-out status, to ensure that your marketing preference continues to be respected.

 

10. Sharing personal data

We do not sell or rent personal data. We may share limited personal data only with:

  • Wix and providers supporting website hosting, website forms, the online store and order processing, appointment scheduling, email distribution, security and technical operations;

  • providers supporting invoicing, banking and, where applicable, payment collection outside the Website;

  • professional advisers and service providers who assist us with legal, accounting, IT, security or business administration and are required to protect the information;

  • competent authorities, courts or regulators where disclosure is required by law or necessary to establish, exercise or defend legal claims; and

  • a successor or relevant counterparty in connection with a genuine merger, restructuring, sale or transfer of the business, subject to appropriate confidentiality safeguards.

Information submitted through the Website is not sent to employers, licensing authorities, DataFlow, translators or relocation partners merely because you complete a self-assessment, request a consultation or order a guide. If you sign a client services agreement and such a transfer becomes necessary, we will explain the relevant processing and obtain authorization where required.

 

11. International data transfers

Because MedRelocate operates internationally and uses cloud-based service providers, personal data may be processed in countries other than the country in which you live, including the United Arab Emirates, the European Economic Area, the United Kingdom, Israel and the United States, depending on where our providers operate. Where required, we use appropriate contractual, organizational and technical safeguards and rely on a lawful transfer mechanism. You may contact us for more information about safeguards relevant to your data.

 

12. Data retention

We retain personal data only for as long as reasonably necessary for the purposes described in this Policy:

  • general enquiries, consultation records and self-assessment information are normally retained for up to 24 months after the last meaningful interaction, unless you request earlier deletion or enter into a contract;

  • newsletter information is retained until you unsubscribe, after which a minimal suppression record may be kept as necessary to honour your choice;

  • digital product order, invoice and transaction records are retained for the period required by applicable accounting, tax and legal obligations; and

  • technical and security records are retained for periods reasonably necessary to operate and protect the Website.

We may retain information for a longer period where required by law, to resolve a dispute, enforce an agreement or establish, exercise or defend legal claims.

 

13. Cookies and similar technologies

The Website is built on the Wix platform and uses cookies and similar technologies that are necessary for security, session management, language preferences, form functionality, the shopping cart and checkout, and other core features. Wix also sets a limited number of functional and performance cookies used to operate the Website and to provide us with aggregated, non-identifying website statistics.

Non-essential analytics or advertising cookies will not be treated as active merely because they are mentioned in this Policy. If we enable Google Analytics, Yandex Metrica, advertising pixels or similar tools, we will provide updated information and a consent mechanism where required. You can control cookies through your browser settings and, where a cookie consent tool is presented on the Website, through that tool. Disabling necessary cookies may affect Website functionality, including the ability to place an order.

 

14. Automated decision-making

We do not make decisions producing legal or similarly significant effects based solely on automated processing. Information submitted through a self-assessment may be organized or evaluated to help identify relevant countries or pathways, but recommendations and next steps are reviewed or determined by the MedRelocate team.

 

15. Data security

We use reasonable administrative, technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration or disclosure. These measures may include access controls, confidentiality obligations, secure cloud services, account protection and restricted access based on business need. No internet transmission or storage system can be guaranteed to be completely secure.

If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the competent supervisory authority and, where required by applicable law, the individuals concerned, within the timeframes set by that law.

 

16. Your privacy rights

Depending on the law applicable to you, you may have the right to request access to, correction of, deletion of or restriction of your personal data; object to certain processing; withdraw consent; request data portability; and lodge a complaint with a competent data protection authority.

To exercise a right, email info@medrelocate.me. We may need to verify your identity before completing a request. We aim to respond within one month, or within any shorter period required by applicable law. Rights are not absolute and may be limited where we have a lawful reason or obligation to retain or process information.

 

17. Children’s privacy

The Website and MedRelocate services are intended for adults and are not directed to children under 18. We do not knowingly collect personal data from children through the Website. If you believe a child has provided personal data, please contact us so that we can take appropriate action.

 

18. Third-party links

The Website may contain links to third-party websites, social media profiles and services. Their privacy practices are governed by their own notices, and MedRelocate is not responsible for their content or handling of personal data.

 

19. Changes to this Policy

We may update this Privacy Policy when our services, technologies or legal obligations change. The current version will be published on this page with a revised effective date. Where a change materially affects how we use personal data, we will provide additional notice where appropriate.

 

20. Language versions

This Policy is published in English and Russian. Both versions are intended to have the same meaning. In the event of any discrepancy or difference of interpretation between them, the English version prevails.
